Main Purpose of the Job

The Communications and Office Manager will play a key role in supporting the Managing Director, Corporate Affairs Manager, and HR team by executing internal and external communications initiatives and providing high-level, confidential administrative support. This role also ensures the smooth operation of the MD’s office and supports the broader Ethiopia Leadership Team.

Job Summary

Employee Engagement/Internal communication

  • Support the Human Resources Manager with internal communication such as planning company engagement events; townhalls, staff conferences etc…
  • Manage/draft internal mass communication in line with Unilever internal communication guidelines.
  • Coordinates meeting and conference schedules, venues, teleconference, presentation equipment, and other meeting requirements including food/refreshment.
  • Build and manage key relationships with internal stakeholders.
  • Support external media relations activities as needed.
  • Organize and schedule meetings and appointments
  • Oversee the Managing Director’s calendar comprehensively
  • Develop and maintain a filing system for the business documents
  • Organize local and international workshops, conferences, and meetings.
  • Oversee/Collect and distribute all incoming and outcoming correspondence from key stakeholders.
  • In absence of the MD and Ethiopia LT he/she must ensure all urgent correspondence or inquiries are either dealt with or forwarded to LT/MD
  • Work closely with support and professional functional heads.
  • Book travel arrangements and provide general support to visitors i.e processing business visa…
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Handle sensitive information in a confidential manner
  • Take accurate minutes of meetings
  • Assist in the preparation of regularly scheduled reports
  • Develop and update administrative systems to make them more efficient
  • Greet and assist visitors to the office
  • Manage multiple projects and tasks simultaneously.

Key Requirements

  • BA Degree in Business related or Journalism and communication field with 1- 3 years of experience.
  • Experience and comfort working with multiple platforms of communication technology.
  • Willingness to maintain flexibility in job function in an ever-changing environment.
  • Excellent written, verbal, presentation and interpersonal communication skills to interface with all levels of management as well as external stakeholders.
  • A “can-do” attitude and a willingness to go the extra mile to get the job done.
  • Excellent analytical and Executive skills.
  • Ability to work under pressure to tight deadlines and co-ordinate the input of others in these circumstances.
  • Highly adaptable with the ability to manage change.
  • Ability to work effectively with a range of partners and stakeholders.
  • The ability to work in a discreet manner, maintaining confidentiality.
  • Proficiency in online collaboration tools.
  • Ability to understand business processes.
  • Internal drive to learn and adapt.
